Most e-mail programs offer folders to help you keep organized. Mail does too, but it calls these folders mailboxes. By creating mailboxes, you can sort your saved e-mails by sender, by topic, or any other way you can think of.
To create a new mailbox, choose Mailbox > New Mailbox. Name your new mailbox something descriptive. Choose a location for the mailbox and click OK. You might have different mailboxes set up for e-mails from different groups of correspondents, such as family, friends, and work colleagues, for e-mails related to different categories, such as hobbies, newsgroups, and newsletters, or for other types of e-mails you would like to save. You can drag relevant messages into your new mailbox to add them.
Of course, just as with folders, you can create sub-mailboxes. To do this, follow the steps to create a new mailbox, and in the Name field type the name of the parent folder followed by a forward slash (/) and then the name of the subfolder (Family/ Sister, to create a folder under the Family heading for e-mails from your sister, for example). Remember that the more detailed your mailbox or folder system is, the easier it will be to find what you are looking for later.
Until now, your e-mail messages have probably looked pretty boring, but don't worry, you can get more creative with formatting! Start by creating a new, blank e-mail message.
Just like in a word processing application, you can alter the font, font size, and color in your e-mails to add that personal touch. Click the Fonts button in your e-mail message toolbar to see all the fonts that are available on your MacBook. There are many to choose from, so I'm sure you'll find one that appeals to you, but if not, you can always go online and find new, free fonts. Go ahead and use your search engine to look for free Mac OS X fonts!
Select the font that you like from the list. You can select the type of typeface that you want and set the size. Keep in mind that people read their e-mails on different types of devices. A tiny font might be fine when viewed on a large monitor, but on a small Blackberry or iPhone, it could be very hard to read.
You can click the Colors button in your e-mail message toolbar to add color to your font or the background of your e-mail. Be wary of using these features in a professional setting; bright colors and wild fonts can be distracting and might look unprofessional. Clicking the Colors button brings up the Colors palette, shown here, where you can select the colors that you want to apply.
Mail also comes with a feature called Smart Mailboxes, which allows you to pull e-mails from various folders and combine them in a new mailbox without actually removing them from their original location.
To create a new Smart Mailbox, choose Mailbox > Smart Mailbox, give the mailbox a name, and then set the criteria you want that mailbox to use in the boxes provided. This is handy if you have e-mails from a specific person scattered throughout different mailboxes and you want to collect them into a single area.
Unread Messages - Often our Inboxes become cluttered with e-mails we've read but are leaving in the Inbox to deal with later. If you don't want to lose unread e-mails, you can create a Smart Mailbox with the criteria to move all unread e-mails from a specific date or date range into it. Later, just click this mailbox and browse your unread e-mail.
VIPs - Whether it's your boss, your spouse, or someone else important in your life, you can create a Smart Mailbox that contains correspondence from the people you select. This could prevent you from accidentally overlooking an important e-mail.
Attachments - Attachments can take up a lot of space on your hard drive or your mail server. Have them sent to a single Smart Mailbox and then just browse through them, deleting unnecessary attachments as you go.
